What does HK do?
HK manages the planning, logistics, communication, timeline flow, vendor coordination, and overall guest experience for your event. Our role is to create a warm, curated presence throughout the planning process and on the wedding day itself.
How involved do we need to be in planning?
This varies per couple. Some couples spend as little as 10 hours actively planning, while others prefer a more hands-on approach closer to 40 hours. At the beginning of planning, we create a path together that fits your needs and comfort level. If at any point it feels overwhelming — or like you’d like to take on more yourselves, we can adjust along the way.
Do you customize your services?
Absolutely. Every proposal, timeline, vendor list, and planning structure is tailored specifically to your event, priorities, and investment range.
What is the planning process like?
Planning is designed to feel streamlined and manageable. We guide you through meetings, vendor selections, design direction, logistics, timelines, and final event preparation step-by-step so nothing feels dropped or rushed. No one size fits all timeline.
How do meetings work?
Most planning meetings are held virtually and are intentionally focused so you are not overwhelmed. Some categories may only require one meeting while others involve additional check-ins depending on the complexity of your event. We also have in person meetings for design and venue flow as well as rentals and tastings.
Vendor Coordination
Do we communicate with vendors directly?
HK handles vendor communication, negotiations, organization, scheduling, and management. You are still the client and will sign agreements directly, but we oversee the process and keep everything organized. The red tape and info docs are all us.
Do you help source vendors?
Yes. We source vendors based on your investment range, style preferences, guest count, availability, and logistical needs. There is no such thing as a required vendor with HK. We only ask for insured vendors who can be vetted prior to your wedding day.
Can we hire our own vendors?
Absolutely. We are happy to work with professional vendors you already know and love.
Why do you recommend certain vendors?
Recommended vendors exist because we trust them deeply and know they communicate well, provide quality service, and work collaboratively with our team. We DO NOT accept nor require a "referral fee" from vendors or venues.
What if a vendor performs poorly?
While HK works hard to manage communication and maintain event flow, we cannot be responsible for another vendor’s professionalism or execution. We can manage chaos, but we cannot fully compensate for poor vendor behavior. We will always cover a back up plan.
Design & Decor
Can you help us design the wedding?
Absolutely. Design support is one of the biggest ways we help reduce overwhelm. Rentals, florals, layouts, candles, linens, signage, and tabletop details can become exhausting quickly, especially once you’re choosing your 47th item for one table. That being said we absolutely suggest hiring a designer that you know and who's style you and your partner are obsessed with. This is an amazing way to get a clear cohesive wedding design.
How much design help do we get?
For many couples, multiple focused one-hour design meetings paired with a checklist is enough to fully shape the look and feel of the event. Some in person drop ins at local rental companies is always fun too!
Can we send inspiration photos?
Please do. If you see something you love, send it to us and we can source that specific item or create something inspired by it. We want all the images!
Do you provide decor items?
Yes. HK offers a variety of complimentary items included within service fees depending on availability. This may include bud vases, reserved signs, basic stationery pieces, and small custom detail items to help reduce last-minute costs. Dessert station items to customize as well as a table top coffee bar addition.
Catering & Bar
How does catering planning work?
We begin with an initial catering meeting where we discuss your needs, priorities, guest experience goals, staffing, rentals, and investment range. From there, we source vendors that align with your event. Attending tastings is optional.
Do you attend tastings?
Tasting attendance is optional. We are happy to attend if you would like additional support.
Do full-service caterers save money?
In many cases, yes. Full-service catering companies often reduce logistical costs because staffing, rentals, setup items, and coordination are already integrated. We highly recommend a full service catering team over just a delivery and service company.
Photography & Media
How involved are you with our photography team?
Very involved. Your media team works closely with HK because timelines, transitions, lighting timing, and guest flow directly impact your photos and videos. These are our partner on the day more than we can stress. Media team is so important for the day.
How much time do we spend discussing photography?
Usually one or 2 focused 30-minute meetings is enough to establish your priorities, timeline goals, and preferred style. Additional communication can happen through email or planning updates.
Wedding Day Operations
Who will be there on our wedding day?
Typically you will see:
A Lead Planner
A Planning Coordinator
A Bridal Party Assistant (optional)
Larger events may require additional staffing depending on guest count and complexity. Approved by client and invoiced prior.
Do you offer extra staff?
Yes. Additional staff for setup, bartending, service assistance, or logistics can often be added with advance notice. We ask for at least 30 days notice whenever possible.
Are your coordinators also service staff?
No. HK’s role is managing your wedding day, timeline, vendors, and guest experience. We are not bussers, servers, bartenders, or free labor unless those services are specifically contracted separately. We do not mind helping out but our primary focus on your wedding day should be logistics and design. Not labor.
Do you offer childcare?
We strongly recommend a separate kids pizza or movie party or childcare space for weddings with many children attending. HK is happy to organize this provided dedicated childcare, such as a nanny or designated family members, is arranged specifically for supervising children. We do not offer childcare in any form.
Booking & Payments
Are proposals adjustable?
Always. Your proposal is meant to reflect your actual needs. If something feels too large, too small, or needs adjusting, we are happy to revisit it together. All proposals not just at signing.
How do payments work?
Most bookings begin with a signed agreement and an initial payment (10%) to reserve your date. Remaining payment is due 90-30 days prior as outlined in your contract.
Do you work with different investment ranges?
Yes. HK works with a variety of event sizes and investment levels. Our role is helping you maximize your priorities while creating a thoughtful and realistic planning structure around your goals.
Communication
How do we stay organized during planning?
HK uses organized planning systems, shared updates, email communication, timelines, and planning portals to keep everything centralized and manageable throughout the process.
Can we email questions between meetings?
Absolutely. Not every question needs a formal meeting. Many updates and decisions can be handled quickly through email or Folia updates. You can even leave us comments on a shared Canva file.
